Terms & Conditions of Enrolment and Refund Policy, 2026–2027 · Rev. 2026-09-25
About these Terms
Welcome to Olga Learning Community ("Olga", "we"), operated by Olga Education Service Pte. Ltd. (UEN 202437419C). By enrolling a student in any Olga programme, the parent or guardian ("Parent", "you") agrees to these Terms. They are read together with the Olga Fee Schedule 2026–2027 (available on request from admin@olgaed.com; all amounts referred to below are set out there) and the Olga Refund Policy, which form part of this agreement.
1. Enrolment and confirmation
1.1A place is confirmed only when Olga has received (a) a completed joining form, (b) the joining fee and deposit, and (c) payment of the first term's fees.
1.2Enrolment is by MOE term and renews automatically each term unless written withdrawal notice is given under Clause 8.
1.3Olga may decline an enrolment. Before accepting a student we assess whether we can teach them well now; where we cannot, we will say so and may recommend a holiday bootcamp or another provider.
1.4Students may join any subject at any time. Where our assessment identifies a gap in foundational skills, the student attends a bootcamp in the school holidays.
1.5A trial lesson is a full lesson in a real class, charged at the trial rate in the Fee Schedule, limited to one per subject, and credited against the first package in that subject if the student enrols.
2. Programmes and term packages
2.1Regular classes are sold as term packages: one subject for one MOE term. Lessons are 2 hours.
2.2Lessons in a package are valid for that term only and expire at term end. Unused lessons have no cash value and are not carried forward, except as a qualifying-absence credit under Clause 6.
2.3A student may pause for a term by freezing (a paid pause), which keeps the locked rate and the class place. Freezing is arranged in advance through admin@olgaed.com and is charged at the monthly freezing fee in the Fee Schedule.
2.4Pay-per-lesson attendance is available at the pay-per-lesson rate. It carries no locked rate, no absence credit and no guaranteed place.
2.5Holiday programmes and bootcamps are separate products, invoiced separately, and are not part of a term package.
2.6Olga may adjust class composition, timing, tutor or venue for staffing or enrolment reasons. We will give at least one week's notice of any change to a regular lesson time.
3. Fees and the locked rate
3.1Fees are as published in the Fee Schedule. All amounts are in Singapore dollars.
3.2The locked rate. A student's per-lesson package rate is fixed by the level at which they first enrol and does not increase for the rest of that stage (Secondary, or JC). The lock applies to every subject the student takes, survives a paid freeze, and is lost if the student withdraws. Moving from Secondary 4 to JC 1 starts a new stage at the JC 1 rate.
3.3One-off fees: a joining fee (non-refundable) and a deposit (refundable on the conditions in the Refund Policy), both payable on first enrolment.
3.4A material fee per subject per term covers printed notes and practice sets. Olga online materials are free for students enrolled in an in-person class.
3.5Sibling discount: a per-lesson discount, as set out in the Fee Schedule, for each enrolled sibling from the second child onwards.
3.6Fees are for the student named on the invoice and may not be transferred to another student without Olga's written approval.
3.7Olga may revise the Fee Schedule for new enrolments with at least 30 days' written notice. Revisions never increase the locked rate of a student already enrolled.
4. Payment
4.1Term fees are due one week before the first lesson of the term. The due date is printed on each invoice.
4.2Accepted methods: PayNow (UEN 202437419C), bank transfer to DBS Bank Ltd, and, on request, credit card or RMB transfer. Any card, currency-conversion or exchange charges are borne by the Parent.
4.3Please use the student's name and invoice number as the payment reference and send proof of payment to admin@olgaed.com. An official receipt is issued once payment is matched.
4.4We do not accept payment after lessons have been taken, except for approved pay-per-lesson attendance.
5. Late payment
5.1If fees are not received within 7 calendar days of the due date, a late-payment fee applies.
5.2A further 5% of the outstanding amount is added for each additional 7-day period the invoice remains unpaid.
5.3A student whose fees are overdue may not attend lessons until all outstanding fees and charges are paid. Lessons missed during a suspension are not credited or rescheduled.
5.4If fees remain unpaid 30 days after the due date, Olga may end the enrolment. Fees already paid are not refunded, the deposit may be applied to the amount owing, and the locked rate is lost.
6. Attendance, absence and lateness
6.1One qualifying absence per subject per term. An absence qualifies only if Olga is told at least 48 hours before the lesson, in writing, in the class parents' group or to admin@olgaed.com.
6.2A qualifying absence is credited as one lesson's fee against the next term's fee for the same subject. No make-up lesson is scheduled. Our tutors' hours are the real constraint: a make-up lesson for one student is an hour taken from another.
6.3The credit lapses if the student does not enrol for the next term, and it is never paid out in cash.
6.4Any further absence in the same term, and any absence with less than 48 hours' notice, is counted as a lesson taken. This includes illness.
6.5A student who arrives late is counted as having attended the full lesson. Lessons end at the scheduled time.
6.6If Olga cancels a lesson, it is never deducted: it is credited to the next term's invoice or rescheduled.
6.7Lessons run as normal on public holidays. There are no lessons during Christmas week, every year.
7. The termly 1-to-1
7.1Every enrolled student has a form tutor and receives one 1-to-1 progress conversation per term with them, included in the fee, covering progress and results, study habits and next term's plan. The conversation is between the student and the form tutor; parents do not attend. You may send questions to admin@olgaed.com beforehand, and you will receive a short written summary afterwards. The conversations in Secondary 2 Semester 2 and Secondary 4 Semester 1 also cover subject choice and progression planning.
7.2We give a diagnosis, not a promise. Olga does not guarantee any grade or result. What we commit to is an honest account of where the student stands, what it takes to improve, and what the student has to do.
8. Withdrawal
8.1To withdraw, email admin@olgaed.com at least 30 days before the end of the current term. The enrolment then ends at the end of that term and the next term is not invoiced.
8.2Notice given later than this means the next term's package is payable. Where the next term has already been paid, the Refund Policy sets out the only circumstances in which a refund is made.
8.3Notice given only in a class group, or to a tutor's personal account, is not valid notice.
9. Refunds
9.1All fees are non-refundable once paid, except in the limited circumstances set out in the Olga Refund Policy, which forms part of these Terms.
10. Communication
10.1Each class has a parents' group and a student group on WeCom. Groups are for quick questions — timings, venue, homework instructions, what to bring. Tutors usually reply within 24 hours during working days.
10.2Substantive questions — a full concept explanation, a worked solution, why marks were lost, or a student's overall progress — are handled in the lesson or the termly 1-to-1, where the tutor can work through the reasoning with the student. The tutor will acknowledge such a question in the group and take it up in class.
10.3admin@olgaed.com is Olga's official channel for fees and invoices, enrolment and class changes, freezing, withdrawal, refunds, complaints, and any notice required under these Terms. Matters raised only in a class group or through a tutor's personal account may not be actioned.
10.4Tutors can explain Olga's published policies, but only admin@olgaed.com can apply them to a particular student or confirm what is owed.
11. Student conduct and safety
11.1Students are expected to arrive on time, bring their materials, and treat tutors and classmates with respect. Students here are encouraged to say "I don't understand" and to challenge a tutor with reasoning — that is part of how we teach, and it is never treated as rudeness.
11.2Olga may end the enrolment of a student whose behaviour is persistently disruptive, unsafe or disrespectful. Bullying, harassment or wilful damage to property may result in immediate termination without refund.
11.3Olga is responsible for students only during their scheduled lesson time at the centre. Parents are responsible for travel to and from the centre and for timely collection. Our tutors do not transport students.
11.4Tutors do not give private lessons to Olga students, do not contact students through personal channels, and do not meet students outside the centre in a teaching capacity. Please do not ask them to.
12. Homework and marking
12.1Homework is marked and returned within 5 days. Express marking is available on request for a fee per script, returned within 12 hours.
13. Materials and intellectual property
13.1All notes, practice sets, papers, online materials and tools provided by Olga are Olga's copyright and are for the enrolled student's personal study only. They may not be copied, shared, sold or uploaded without Olga's written permission.
13.2Recording of lessons (audio or video) requires the tutor's prior agreement.
14. Personal data (PDPA)
14.1By enrolling, you consent to Olga collecting, using and disclosing personal data of yourself and the student under the Personal Data Protection Act 2012, for administering enrolment and lessons, communicating with you, issuing invoices and receipts, meeting legal requirements, and — unless you opt out — telling you about Olga programmes.
14.2We collect names, contact details, school and level, academic records, relevant medical information and emergency contacts. We never collect a full NRIC or FIN number; at most the last four characters, optionally, for identity verification.
14.3Data may be shared with Olga tutors and staff, payment processors, IT and cloud providers, and authorities where the law requires. Olga does not sell personal data.
14.4Data is kept only as long as needed or as the law requires, then securely destroyed or anonymised. You may request access, correction or withdrawal of consent at admin@olgaed.com.
15. Photographs and video
15.1Unless you opt out, Olga may use photographs and short videos taken during lessons and Olga events on its website, social media and printed materials. We identify a student by first name at most.
15.2You may opt out, or withdraw consent later, by emailing admin@olgaed.com. Withdrawal applies to new material; we cannot guarantee removal of material already published.
16. General
16.1Olga may update these Terms with at least 30 days' written notice to the email address on file. Continued enrolment after the notice period means the updated Terms apply.
16.2Neither party is responsible for failure to perform caused by events beyond reasonable control (including government directives, public-health measures or venue closure). Where lessons cannot run for such a reason, Olga will offer rescheduled lessons, online lessons or credit.
16.3These Terms are governed by the laws of Singapore. Both parties agree to attempt to resolve any dispute in good faith before taking formal action.
16.4These Terms, the Fee Schedule and the Refund Policy are the entire agreement on enrolment and replace all earlier versions, including Rev. 2026-08-04.
Refund Policy
Part of the Terms & Conditions (Clause 9).
The principle
Fees are non-refundable once paid. We sell a term, not a stack of lessons: the tutor, the class place and the scheme of work are committed to your child for the whole term the moment it is paid, and we cannot resell a place halfway through.
The circumstances below are the only ones in which Olga makes a refund. They apply equally to every family.
What is never refunded
| Item | Why |
|---|---|
| Joining fee | Covers assessment and setting up the student record |
| Material fee | Materials are printed and issued at the start of term |
| Term package fees once the term has started | Including lessons missed, lessons not attended, and absences beyond the one qualifying absence per term |
| Pay-per-lesson fees | Charged per lesson attended or booked |
| Trial lesson fee | Not refunded; instead credited against the first package in that subject if the student enrols |
| Qualifying-absence credits | Credited against next term's fee only; lapse if the student does not re-enrol; never paid in cash |
| Late-payment charges | — |
| Holiday programmes and bootcamps once started | — |
The only circumstances in which we refund
A. Olga cancels or cannot deliver
If Olga cancels a class or programme, or cannot provide a suitable class and tutor for the subject you have paid for, you choose between:
- a pro-rata refund of the lessons not delivered, or
- a credit of the same value against a future invoice.
A single lesson cancelled by Olga is credited or rescheduled rather than refunded (Terms, Clause 6.6).
B. Withdrawal before a paid term begins
If a term has been paid in advance and you give written notice to admin@olgaed.com before the first lesson of that term, the term fees are refunded less an administration fee (see the Fee Schedule) and any bank or card charges. The material fee is refunded only if the materials have not been issued.
Once the first lesson of the term has taken place, Section A is the only route to a refund for that term.
C. Overpayment or duplicate payment
Any amount paid in excess of the invoice, or paid twice, is refunded in full or credited to the next invoice — your choice.
D. Enrolment ended by Olga (not for conduct or non-payment)
If Olga ends an enrolment for its own reasons, the lessons not yet delivered are refunded pro rata. This does not apply where an enrolment is ended for conduct (Terms, Clause 11) or non-payment (Terms, Clause 5).
The deposit
The deposit is refunded within 14 days of the end of enrolment, provided that:
- written withdrawal notice was given to admin@olgaed.com at least 30 days before the end of the final term, and
- all fees and charges have been paid, and
- all Olga-owned materials on loan have been returned.
If these conditions are not met, the deposit may be applied to any amount owing and any balance is forfeited. A deposit is not used to pay a term's fees while the student is still enrolled.
How refunds are calculated
Pro-rata refunds (Sections A and D) are calculated as:
lessons not delivered × the per-lesson rate actually charged on the invoice (after any sibling discount).
Joining and material fees are excluded from the calculation.
| Example | Refund |
|---|---|
| Olga closes a class after 6 of 10 lessons | 4 × your per-lesson rate, refunded or credited |
| Term paid in advance; notice given before its first lesson | Term fees (and material fee, if materials not issued) less the administration fee |
| Parent pays an invoice twice | The duplicate amount, refunded or credited |
| Parent withdraws in week 4 of term | No refund — the term has started |
How to request a refund
- Email admin@olgaed.com with the student's name, the invoice number and the reason (Section A, B, C or D).
- We confirm the amount in writing within 5 working days.
- Approved refunds are paid within 14 working days of confirmation, to the original payment method where possible. Refunds of payments made in RMB are paid in SGD at the amount received by Olga, less any conversion charges.
Refund requests made to a tutor, or in a class group, are not valid requests.
This policy forms part of the Olga Terms & Conditions of Enrolment (Clause 9). Olga Learning Community is operated by Olga Education Service Pte. Ltd. (UEN 202437419C). Nothing in this policy affects any rights you may have under Singapore law.
